Privacy Policy

This Privacy Policy explains what information VerBill ("we," "us") collects when you use verbill.app, how we use it, and the choices you have. VerBill is a business tool: most of the data you store in it is business data you control.

1. Information We Collect

• Account information: your email address and authentication details. If you sign in with Google, we receive your email from Google.
• Business profile: business name, logo, contact details, license number, rates, tax rate, and payment method handles you choose to display on invoices.
• Voice recordings: audio you record to create invoices. Recordings are processed to produce a transcription and extracted invoice details. Recordings made offline are stored on your device until processed.
• Invoices and client records: the invoices you create and the client information you store (names, addresses, emails, phone numbers). This is your clients' personal information, and you are responsible for handling it lawfully; we process it on your behalf to provide the Service.
• Billing information: handled by Stripe. We never see or store your card number — we store only your subscription status and Stripe identifiers.
• Usage data: basic technical logs (such as request metadata and error reports) used to operate and secure the Service.

2. How We Use Information

• To provide the Service: transcribe recordings, generate invoices, store your records, deliver invoices by email, and sync to QuickBooks when you connect it.
• To operate billing, prevent abuse (including rate limiting), and provide support.
• To improve reliability, including diagnosing errors.

We do not sell your data. We do not use your recordings, invoices, or client records for advertising.

3. AI Processing

When you record a job summary, the audio is sent to our AI provider — currently Google (Gemini) — via our secure server to produce a transcription and structured invoice details. Audio is transmitted for processing and is not used by us to train AI models. AI output may contain errors; the app requires your review before an invoice is saved or sent.

Each provider processes data only as needed to provide its function, under its own security and privacy commitments.

5. QuickBooks Integration

If you connect QuickBooks Online, invoice, customer, and payment records you sync are transmitted to Intuit and become subject to Intuit's privacy practices. Connection tokens are stored encrypted server-side and are never exposed to your browser. You can disconnect at any time in the app, which revokes our access.

6. Data Storage and Security

Your data is stored with access controls that isolate each business's records (row-level security). API credentials and integration tokens are held server-side only. Data is encrypted in transit. Offline recordings are stored locally on your device until processed and are removed after successful processing.

7. Data Retention and Deletion

We retain your data while your account is active. If you cancel, your data remains available so you can export or resume, unless you request deletion. To delete your account and associated data, contact support@verbill.app — we will delete your records within 30 days, except where retention is required by law (for example, billing records).

8. Your Rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information. Contact us at support@verbill.app and we will honor applicable requests. Your clients may also contact us regarding information about them stored by a VerBill user; where the law requires, we will refer the request to the responsible business and assist as needed.

9. Cookies and Local Storage

VerBill uses local storage on your device for sign-in sessions and app preferences (such as theme and install-prompt choices). We do not use advertising cookies or third-party trackers.

10. Children

The Service is a business tool intended for adults and is not directed at children under 18. We do not knowingly collect information from children.

11. Changes to This Policy

We may update this Policy from time to time. Material changes will be communicated through the Service or by email. The "Last updated" date above reflects the current version.
